Entering into a Participation Agreement under the Academic Mobility Programme
Clauses 11, 12, and 15 of the Regulation on the Procedure for Exercising the Academic Mobility Right provide for entering into an agreement on academic mobility programme participation. The availability of such agreement is the instrument ensuring that the rights are protected and obligations are performed by the participants of the academic mobility, as well as that any discrepancy is avoided after the academic mobility programme is over and the person comes back to the main HEI.
Who shall sign the agreement on academic mobility?
The agreement shall be entered by domestic academic mobility participants (students, post-graduate students, postdoctoral students, academic and teaching staff) and domestic higher education (research) institutions at which the academic mobility participant study/work/carry out research, prior to the commencement of academic mobility.
If a student, on personal invitation, goes to a foreign institution to study/ undertake an internship, should the home university enter into an agreement with such institution?
No, the domestic HEI shall not enter into an agreement with a foreign HEI (research institution) that is attended by the participant of education process under an academic mobility programme. The agreement shall be entered into by the participant of education process (academic mobility participant) and the domestic HEI in which such person studies/works.
What information should be included in the agreement?
It depends on the type and form of academic mobility and the person who is an academic mobility participant.
It is advisable to include the following information in the agreement with a domestic higher education seeker and a domestic higher education (research) institution:
When the agreement is between a bachelor/master and the HEI
- The academic year in which the academic mobility is implemented, the duration of the academic mobility (term, month), type/form of the academic mobility;
- Personal data of the academic mobility participant:
- full name;
- higher education level/education and qualification level (bachelor/master) to be obtained;
- department, professional area/specialty occupation; year of study.
- Information on the higher education institutions/research institutions:
- Domestic HEI/research institution (the party sending the academic mobility participant);
- Foreign (or domestic, in case of internal mobility) HEI/research institution (the hosting party of the academic mobility participant)
- Tentative information on the training module in the foreign HEI/research institution:

We would recommend that you adjust, if possible, the training modules prior to the commencement of the academic mobility programme in order to determine whether the educational plan can be fulfilled at the main HEI.
- Acknowledgment by the academic mobility participant that he/she has carefully read the academic programme of the foreign HEI prior to the completion of that part of the agreement;
- Information on the type of document to be received by the academic mobility participant after the academic mobility programme is completed (a diploma, certificate, academic transcript, etc.);
- Financial terms and conditions of participation in the academic mobility programme (fully funded participation in the academic mobility programme = the student is not entitled to an educational grant at the domestic HEI; partially funded participation in the academic mobility programme = the HEI continues to pay the educational grant to the academic mobility participant);
- Signatures of the head of department/dean/vice-principal for international activity/head of the international cooperation office, as well as the academic mobility participant;
- Other information that the HEIs/research institutions deem necessary to be added to the agreement.
When the agreement is between a post-graduate student/postdoctoral student and the HEI/research institution
- The academic year in which the academic mobility is implemented, the duration of the academic mobility (term, month), type/form of the academic mobility;
- Personal data of the academic mobility participant:
- full name;
- educational and research / research (post-graduate/postdoctoral) level to be obtained;
- specialty occupation; year of study.
- Information on the higher education institutions/research institutions:
- Domestic HEI/research institution (the party sending the academic mobility participant);
- Foreign (or domestic, in case of internal mobility) HEI/research institution (the hosting party of the academic mobility participant)
- Information on the research programme at the foreign (or domestic, in case of internal mobility) HEI/research institution:
- Research topic and summary;
- Manager of research at the domestic HEI/research institution, manager of research at the foreign HEI/research institution;
- Description of research activity during the academic mobility programme.
- Document to be received by the academic mobility participant after the academic mobility programme is completed (a diploma, certificate, etc.);
- Financial terms and conditions of participation in the academic mobility programme (fully funded participation in the academic mobility programme = the post-graduate student/postdoctoral student is not entitled to an educational grant at the domestic HEI; partially funded participation in the academic mobility programme = the HEI continues to pay the educational grant to the academic mobility participant);
- Signatures of the programme director/head of department/dean/vice-principal for international activity/head of the international cooperation office, as well as the academic mobility participant;
- Other information that the HEIs/research institutions deem necessary to be added to the agreement.
When the agreement is between a research fellow, teaching employee, and academic and research fellow and the HEI (research institution)
- The academic year in which the academic mobility is implemented, the duration of the academic mobility (term, month), type/form of the academic mobility;
- Personal data of the academic mobility participant:
- Full name;
- Department, academic chair, position;
- Academic degree/ academic rank.
- Information on the higher education institutions/research institutions:
- Domestic HEI/research institution (the party sending the academic mobility participant);
- Foreign (or domestic, in case of internal mobility) HEI/research institution (the hosting party of the academic mobility participant)
- Information on the academic mobility programme at the foreign (or domestic, in case of internal mobility) HEI/research institution:
Description of activity to be carried out by the research fellow, teaching employee, and academic and research fellow during the academic mobility programme.
Document to be received by the academic mobility participant after the academic mobility programme is completed (a diploma, certificate, etc.);
Financial terms and conditions of participation in the academic mobility programme (fully funded participation in the academic mobility programme = the research fellow, teaching employee, and academic and research fellow is not entitled to a wage at the domestic HEI; partially funded participation in the academic mobility programme = the HEI continues to pay the wage to the academic mobility participant over the period of up to six months);
Signatures of the head of department/dean/vice-principal for international activity/head of the international cooperation office, as well as the academic mobility participant;
Other information that the HEIs/research institutions deem necessary to be added to the agreement.
